Defining roles

User Roles help define access levels and permissions for different users within the Beeline Professional application.

Roles can be constrained by organization, business sites, countries, or cost centers. For example, users with the program office role who are based in the UK can manage invoices that refer to UK-based cost centers.

Security policies and Roles ensure that the right people have access to the correct information at the right time and protects the integrity and confidentiality of your data.

To configure the Roles that support the business requirements of a particular client, Beeline Professional administrators can copy them from an implementation tenant.

Before you begin

  • You must have Beeline Professional administrator access to the implementation site and the site you’re configuring.

  • If you want to import Roles using an exported file, you must first build Organizations in the tenant site you’re setting up. For more information, see Building organizations.

Steps

Configuring roles manually

To manually add roles, complete these steps from any supported browser.

  1. Log in to the implementation site.

  2. From the left navigation, go to Settings  Enterprise.

  3. Select the Roles tab to view the details of each role.

  4. In a separate window, log in to the Professional tenant site you’re setting up.

  5. Go to Settings  Enterprise and select the Roles tab.

  6. For each role that you want to add, from the upper right of the Roles table, select Add Role.

  7. In the Create New Role dialog, copy these details from the implementation tenant:

    • Role Name

    • Code

    • Description

    • Default Assignee. You can assign the role to your user and change the assignment later.

  8. Select Create.

Importing roles

To import roles successfully, you must first build organizations in the tenant you’re setting up. For more information, see Building organizations.

To import roles, complete these steps from any supported browser.

  1. Log in to the Professional implementation tenant.

  2. From the left navigation, go to Settings  Enterprise.

  3. Select the Roles tab.

  4. To export all the roles available in the implementation tenant, from the upper right of the Roles table, select Export. A .csv file that includes the roles is downloaded on your device.

  5. In a separate window, log in to the Professional tenant site you’re setting up.

  6. Go to Settings  Enterprise and select the Roles tab.

  7. From the upper right of the Roles table, select Import.

  8. In the Import Roles dialog, drag and drop or select the .csv file that includes the roles that you exported from the implementation tenant.

  9. Select Import.

  10. Optional. To add the roles description, you can edit each role manually after the import process has completed.
