About smart forms

Data is at the core of your Beeline Professional tenant. And that data drives your business and helps you operate successfully.

Smart forms are an advanced type of electronic forms that enhance the data collection experience of an application by supporting dynamic features and intelligent functions such as conditional logic and interactive elements.

As a Beeline Professional administrator, you can build smart forms to collect data that’s essential to running your business. You can create, modify, publish, and unpublish smart forms that support the workflows and business practices of a client.

You can use smart forms in Professional to support:

  • Sourcing and supplier worker management tasks.

  • Data collection tasks that are part of business processes.

  • Fine-tuning captured worker profile data.

Smart forms used to streamline management tasks for suppliers

Your suppliers help you manage workers, engagements, and job applications. You can ensure you collect the data you need from your suppliers by configuring smart forms.

For example, you can make an Add Worker form available to your suppliers when they add workers in the Supplier Network app. You can make the same Add Worker form available in Professional to hiring managers who are adding pre-identified candidates who aren’t required to go through the sourcing process.

You can create these types of standalone smart forms for use in Professional, Supplier Network, or both apps:

  • Add Worker

  • Add Engagement

  • Update Engagement

  • Add Job Application

  • Offboard Worker

Standalone smart forms aren’t associated with your business processes.

You must select the Available to supplier toggle for every smart form that you want to share with the Supplier Network app. Ensure that you make only one Add Job Application smart form available to suppliers.

To create new or modify existing smart forms, go to Settings  Smart Forms.

Smart forms in business processes

Business processes are critical to keeping your business on track and organized. Your business processes help you make progress toward your goals, improve your business’s operations, and reach a specific target.

You can configure Professional to match your business processes so that data and transactions map to your in-house systems and needs.

To collect information about a business process, you can create and modify smart forms in the process designer. For example, the information a hiring manager provides in a smart form when they submit a work request can be mapped to other tasks making the information available so approvers can review and edit it before acting.

To access the process designer, go to Settings  Processes and create a new process definition or modify an existing one.

Smart forms that capture profile data

Build smart forms to fine-tune daily interactions with the worker and engagement profiles in Professional.

You can choose which tabs display on the Worker Profile page by modifying the corresponding smart forms. Go to Settings  User Interface Settings and select the Worker Profile tab. Next, you can create new smart forms or modify existing ones.
