Configuring time codes

Time codes are specific categories used to track how workers spend their time on various tasks and activities. Different types of work or time allocations can represent activities such as regular work hours, overtime, vacation, sick leave, and so on.

Time codes are linked to rates, such as bill rates and pay rates, and can be used to organize and classify worked hours, making it easier to calculate invoices based on the type of work or time reported on timesheets.

As a program office user or a Beeline Professional administrator, you can use preconfigured time codes, such as regular, overtime, and double time, or define new time codes that best describe the operational needs of your organization.

You can also set up a router time code if you’re planning to configure timesheet rules. Router time codes are advanced time codes used when the rate is determined dynamically by a set of rules. For more information, see About timesheet rules.

Before you begin

  • You must have administrator access to Professional.

  • Define rates before configuring time codes. For more information, see Defining rates.

Steps

To configure a new time code, complete these steps from any supported browser.

  1. Log in to Professional.

  2. From the left navigation, go to Settings  Timesheet Settings. The Home tab displays.

  3. Select the Time Codes tab.

  4. From the upper right of the Time Codes table, select Create a Time Code. The Create a Time Code dialog displays.

  5. Enter a name in the Name field.

  6. In the Reference ID field, reenter your time code name replacing spaces with hyphens. Entering the rate code in this format makes it easier to find and reference in import templates.

  7. Optional: If you are creating a router time code to use with timesheet rules, activate the Router toggle.

  8. Select the rate that this time code is associated with from the system-generated Rate list that includes all the rates defined in your tenant site. If you are creating a router time code, you don’t need to select a rate, as the rate will be linked to the corresponding time allocations by the timesheet rules engine.

  9. Select Submit to add the new rate and return to the Time Codes table.
