Configuring hiring manager accounts manually

Hiring managers are usually company employees who manage contingent workers or non-employees. As a Beeline Professional administrator, you can determine if a worker is an employee by reviewing the employee classification in Professional.

When the client’s human resources system (HRS) is integrated with Professional, hiring manager accounts are configured when the systems are integrated. So, you don’t have to configure hiring managers as a separate task. Any changes made to the organization structures in the HRS are reflected in the Professional tenant site.

When the client’s HRS isn’t integrated with Professional, you can manually configure hiring managers with the Import Data tool. You can import hiring managers using the same process as importing workers with the following distinction:

  • The classification must indicate the worker is an employee.

Before you begin

  • You must have administrator access to the tenant site you’re setting up.

  • Configure supervisory organizations before configuring hiring manager accounts. For more information, see Building organizations.

  • Identify which users must perform hiring manager tasks in Professional.

Steps

To import hiring managers accounts, complete these steps from any supported browser.

  1. Log in to the Professional site you’re setting up.

  2. From the left navigation, go to Home and select Import Data.

  3. Create a template that you can use with the Import Data tool:

    1. From the Data object field, select Worker.

    2. To download a template, select Import Templates  Select a template, select the worker manager upload template and select Download.

    3. Open the template file in Microsoft Excel ©. These columns are required for the template:

      • Personal Email

      • Legal First Name

      • Legal Last Name

      • Work Email

      • Engagement Status. Enter ONBOARDED.

      • Classification Reference Id. Use the reference ID for the employee classification. To find the classifications that are configured in your system, go to Settings  Classifications.

      • Supervisory Org Reference Id. Enter the reference Id of the organization that the hiring manager belongs to. This must be an organization that is hierarchically superior to the one they are expected to manage.

      • Cost Center Reference Id

      • Business Site Reference Id

      • Start Date. Ensure that the number format for the cell is set to text and use the following format: YYYY-MM-DD

    4. To populate the template, add each hiring manager as a separate entry; for example, one row for each hiring manager you want to add.

    5. Save the populated template with a different file name.

  4. Go to the Import Data form and in the Note field, enter a description to help you find your imports faster in the import monitoring logs.

  5. Select Continue and upload the populated user template.

  6. Follow the instructions in the Bulk add WORKERS page to confirm the column headers row and mapping of the fields.

  7. Optional: To review potential errors, turn on the Only show rows with problems toggle in the review section. If errors exist, you can hover over each error to view advice on resolving it. After you resolve the errors, select Continue.

After you submit the template, a message confirms you’ve submitted it successfully. The message doesn’t mean the data was successfully loaded in Professional. Select Settings  Monitoring  Import Logs to determine whether your import was processed successfully.
