The release details outline the major features and enhancements for Beeline Professional in 2024.

- Improved drafts management

If you’re completing forms that require additional checks and you navigate away from the page, or an unexpected event occurs such as a system timeout or lost connection, the system automatically creates a draft for the changes you were trying to make. This allows you to save your work mid-progress and resume it later, ensuring that no progress is lost.
Now you can set up a draft retention period or deactivate drafts in Professional to reduce data clutter. The following draft retention periods apply by default:

After the retention period expires, the system will automatically delete the drafts and their associated processes.

- Time & Expenses hub: Timesheet Period filter

As a program office user, you might need to keep track of timesheets that were submitted or modified within a specific interval of time, so you can isolate relevant sets of timesheets or expenses, and identify trends and patterns faster. You can now select the Timesheet Period filter and focus on items submitted during a specific interval of time.
- Time & Expenses hub: enhanced filtering experience

Filters help you narrow down large amounts of data and focus on a more accessible and actionable subset. Moving the filters in the Time & Expenses hub above the Timesheets and Expenses tables respectively, makes it easier to quickly sort your data.
By default, the filters are set to display the timesheets submitted within the last 3 months with the
Pending
,Rejected
,Approved
,Invoiced
, andOverdue
status in the Timesheets tab. Timesheets are sorted by the date they were last updated. In the Expenses tab, the default filters are set to display the expenses submitted within the last 3 months.

- More options for tracking spend on engagements!

Beeline Professional currently supports a single cost center value for tracking engagement spend. Some clients use custom fields to track multiple values for their cost allocation data so they can precisely track how costs are assigned to their various business units.
Now your Beeline Professional administrator can set up financial fields to effectively track spend on engagements. These additional values help you accurately and conveniently define, capture, and track engagement spend in Professional.
- Invoices hub: filter terminology improvements

Consistent terminology helps you complete tasks quickly and efficiently. To reduce confusion and match invoice states, one of the Status filters in the Invoices hub has been changed from
Submitted
toPending
.To prevent any integration issues, the Beeline Professional API supports both the
SUBMITTED
andPENDING
invoiceStatus
values to afford administrators time to update their clients. For more information, see the API documentation.
- Business Event Reasons

Beeline Professional now uses a set of business events to generate data and insights that help program office users make more informed decisions and respond quickly to changes. Business events are linked to various actions such as a work request getting approved, a timesheet getting submitted, or a job posting getting distributed to a supplier, and can be consumed through API integrations. For more information, see the API documentation.
Business event reasons are additional data points that allow for more granular reporting of events, such as reasons for rejecting a job application candidate. A Beeline Professional administrator can build business event reasons in

- Timesheet Settings

Previously, you could configure timesheet options from
. That navigation was moved and now you can set up timesheet options from . The new location improves your user experience by consolidating spend controls in a single location.
- Worker Profile page: terminology improvements

Consistent terminology improves the overall usability and efficiency of an application. To improve clarity, the button to invite workers to the Beeline Professional application was changed to Invite to Professional App.
- Optimize screen space with adaptable table columns

Clear and well-structured tables make it easier to understand and interact with data. No more rendering issues or overlapping data! Adjust column widths to focus on the most relevant data and maximize visibility. Quickly extract key insights and make informed decisions based on improved data presentation.

- New Service Desk ticketing portal

We have upgraded our Service Desk ticketing portal to streamline request tracking and enhance our existing security. Beeline has migrated program office user accounts active in the last 6 months. These user accounts have received an invitation for the new ticketing portal asking them to validate their new accounts by creating a password. All in-progress tickets are available in the new portal ensuring no disruption to ongoing work.
To request access to the new Service Desk portal, please contact your Beeline Client Operations Manager.
- Home page: Headcount widget

Understanding the overall headcount helps program office users assess and find opportunities to optimize resource utilization.
Access a high-level view of your extended headcount by adding the new Headcount widget to the Highlights section of your Home page. To drill down into each classification and navigate directly to Worker hub, select any of the classifications that display on the widget.

Knowing the number of active suppliers allows program office users to manage their supplier relationships more effectively and strategically.
View the number of active suppliers quickly by adding the new Suppliers widget to the Highlights section of your Home page. To drill down into the list of active suppliers, select the number that displays on the widget.
- Self-service Help tool

Finding helpful information about how to set up your Beeline Professional site just got easier! We’ve added a new Help button located in the upper right toolbar, next to Notifications.
Use the Help search to quickly locate articles and find clear, concise, and actionable instructions, as well as relevant explanations of ideas and concepts, ensuring that you can use our platform to its full potential and with confidence.
Select Support to request technical support assistance or select Feedback to share your thoughts with us. To learn more, see About the help library.
While this enhancement is automatically available, administrators can turn it off in
by deactivating the Help toggle.

- Invoices hub: Mark as Paid action

As a program office user, you might need to keep track of approved invoices that were processed and paid, so you can categorize and filter invoices by status. You can now update the status of invoices from
Approved
toPaid
in the Invoices hub by selecting the approved invoices you want to update, and then, selecting Mark as Paid from the upper toolbar.This enhancement is automatically available in Beeline Professional.
- Report Templates: Financials

Beeline Professional’s Report Builder enables full visibility into your contingent workforce program. Using the Financials template available, you can build custom reports containing engagement and timesheet data.
- Worker Profile page: highlights panel improvements

The Actions list in the toolbar on the Worker Profile page was relocated from the panel on the left, to a new location in the upper right of the page. The circular contract progress indicator was changed to a bar progress indicator, so you can visualize and track progress immediately.
These changes are available automatically and align with design patterns used throughout the application, providing you with a more consistent and intuitive experience navigating Professional.

- Expense Categories: Default currencies

Setting currency types by expense category simplifies submitting expenses, eliminates incorrect currency entries, and improves accurate budget data. You can now limit the currencies that display when workers and suppliers submit an expense.

- Withdraw suppliers from a job posting
-
Sometimes you need to withdraw a supplier from a job posting. By uninviting suppliers from participating in the sourcing process, you can eliminate low-performing suppliers, streamline decision making, and reduce the costs associated with reviewing unsuitable applicants.
Now, you can withdraw a supplier before they submit any candidates. A Withdraw Invite dialog displays so that you can confirm the withdraw action before you complete it. When you withdraw a supplier from a job posting, the job posting status is updated automatically in Supplier Network.
This enhancement is automatically available in Beeline Professional.
- Find permissions policies faster

Identifying and resolving issues when you’re importing policy data is now more efficient. As an Administrator, you can now quickly look for information by policy ID in addition to policy name when searching for Security & Permissions under Settings in Beeline Professional.
- Set up Timesheet Rules to streamline pay calculations
-
Workers can submit their worked hours and accurate time rates are automatically calculated for them!
Beeline Professional administrators can configure a set of rules to determine the rates that apply to the submitted hours and by using the new Router time code option. A new Timesheet Rule business task can be added as a step to new or existing business processes to drive efficiency, ensure compliance, and accurately track costs.
Administrators must configure Timesheet Rules. To activate Timesheet Rules, go to
from the left navigation. You can find the Timesheet Rules option toggle on the Home tab.
- Import invoices with the Import Data tool

Using the Import Data tool saves you time and makes importing records into Beeline Professional quicker. Now you can use the Import Data tool to import invoice data and streamline workflow efficiency.
Use the new invoice upload templates to ensure your uploaded data is consistent and accurate. You can still use existing upload files; however, unrequired fields may no longer be mapped.

- Easily view approval details for timesheets, expenses, and invoices

Program office users can quickly drill down into a worker’s profile from the Workers hub. Then they can select the Time tab and drill down into a timesheet or an expense and instantly view the date and time an item was approved. In addition, program office users can drill down into an invoice from the Invoices hub and instantly view the date and time an invoice was approved and the approver’s name.
These enhancements are automatically available from the Workers and Invoices hub.
- Finding the right job profile is simpler

Sometimes when you’re creating a job posting, you may not know the exact job title you want to use. Finding one just got a lot easier!
The Job Posting page now includes Job Family Group and Job Family filters to help you narrow the list of applicable Job Profiles. This enhancement streamlines and simplifies the process of creating a job posting and is automatically available in Professional.
- Capture worker time zone in your Smart Forms

Worker locations can influence pay rates, and now you can capture remote workers’ time zones in your Smart Forms. Your Beeline Professional administrator must edit the smart form you use to record worker information and add the new element.

Worker locations can influence pay rates, and now you can create customized rate cards tailored to precise worker locations. Your Beeline Professional administrator must create customized rate cards.
- Suggest remote worker rates for suppliers

As a Beeline Professional administrator, you can create customized rate cards for remote worker locations and assign them the Smart Forms you use to record worker information in the Supplier Network app. Then, suppliers are prompted with your suggested rates when they add remote workers. Suppliers can edit the suggested rates to provide a more accurate and competitive service to you. Administrators must add this enhancement to Professional.
- View changes to the remote address and time zone information

Suppliers can regularly update a remote worker’s address and time zone fields on a worker’s profile in the Supplier Network app. To ensure you’re aware of those changes, they are now recorded in Beeline Professional and visible from the engagement Change History in the Engagements hub. This enhancement is automatically available in Professional.

- Make work requests and job applications modifiable

As a Beeline Professional administrator, you can create and add workflow processes to edit work requests or job applications. First, you create and set up processes for your work requests and job applications workflows via Self-Service. Then, you can use an Actions menu to make changes on the fly and ensure work requests and job applications are processed smoothly through Professional.
From the Professional Home page, select
and then start creating your new edit processes.
- Work Requests hub: new Work Requests Options page

Previously, all available work request options displayed above the Work Requests table when you opened the Work Requests hub. Now when you select Submit A Request, a Work Requests Options page displays showing you all your available options. Moving the options to a separate page makes them easier to view and navigate.
- Invoices, Job Applications, Job Posting & Work Requests hubs: improved headers

When you drill down into an item from the Invoices, Job Applications, Job Posting & Work Requests hubs, details instantly display below the page title so you can quickly view them. After you drill down into an item, you can now also easily act on an item using the Actions menu at the upper right of the page.
- Contracts, Supplier and Work Requests hubs: Add icon improvements

The Add icon in the toolbar on the Contracts, Supplier, and Work Requests hubs was changed to a button, relocated to a prominent location at the upper right of the page and renamed to provide additional context around the action you’re taking. You’ll now see Add Contractor, Add Supplier, and Submit A Request buttons in those hubs.

Quick Reports was renamed Quick Views. Only the name was changed, Quick View still has all the features you’re familiar with.

Those enhancements simplify managing your supplier pool, expedite and modernize your candidate submittal process, and streamline your procuring and recruiting processes. - Instantly identify differences between the current and approved budgets for an engagement

Understanding the financials is key to approvers, especially when it comes to changes that affect an engagement budget. Program Office users and hiring managers can instantly view the Approved Budget and the Current Budget from the Engagements tab on a Worker Profile page.
- Sourcing hubs: Date Range filter

You can now sort data you’re viewing using a date range filter from the Contracts, Job Applications, Job Postings, and Work Requests hubs. The new filter gives you yet another option to help you quickly locate exactly the data you’re looking for.

Paid holidays can differ by organization and by work location. Plus, many countries follow different holiday schedules for different regions within the same country.
Beeline Professional Administrators can now add a Holiday Schedule and a Work Schedule to smart forms for your work requests, job postings, and job applications. Plus, Administrators can include a Holiday Schedule and a Work Schedule when mapping data for business rule tasks.
Administrators must set up this enhancement in your smart forms and data mapping business rule tasks.

Clients and Program Office users can now use the Finance Connector to export key financial data from Beeline Professional quickly and easily. Set up a schedule to run your export weekly or monthly and get your financial data when you need it. Feed exported data into your third-party systems to create customized reports, invoices, and more. Sometimes you need to delete a job posting. When you do delete a posting, you can’t undo that action. Now you have an opportunity to change your mind before you permanently delete a posting.
A Delete Job Posting dialog displays so you can confirm your delete action before you complete it. This enhancement is automatically available in Beeline Professional.

- Create and schedule quick view exports from Time & Expenses

Quick Views and Scheduled Exports are now available from the Time & Expense hub in Beeline Professional.
Use Quick Views to group a combination of filters, same them as a view and give them a title of your choice. Plus, you can set up exports in advance and have Quick View data automatically exported when and how you want it. After you schedule an export, you can manage them from My Content available from the Export hub.
These enhancements are automatically available from the Time & Expenses hub in Professional.
- Schedule exports of your Quick View data from the Sourcing hubs

Set up exports in advance and have Quick Views data automatically exported when and how you want it. Simply select the Schedule Export option from the Actions menu in Quick Views. Then use the Schedule Export dialog to define criteria around when and how your data is exported. For example, the date and time you want the export to occur, how frequently the export should repeat, and the file format for the export. After you schedule an export, you can manage them from Exports available from the Reports hub.
This enhancement is automatically available from the Contracts, Engagements, Job Applications, Job Postings, Suppliers, Workers, and Work Requests hubs in Beeline Professional.

Beeline Professional now uses a set of processes to drive real-time updates from Professional to Workday®. This enhancement regularly synchronizes worker and engagement data between Professional and Workday, which means you can have a clear view of your contingent program.

- Manually restart failed processes on engagements
-
Beeline Professional can be set up to use a Push architecture based on processes to synchronize worker data with Workday®. When an engagement entity object is modified or created in Professional, processes trigger automatically, and API calls push data to Workday in real-time.
Occasionally, engagement processes that include modified entity objects didn’t complete successfully in Professional because a subordinate Workday task has blocked the process. Because the Professional process didn’t complete, entity object updates weren’t pushed to Workday and Worker data became out of sync.
Now Beeline Administrators can restart failed processes on engagements by selecting Retry from the Actions menu on the Processes tab from a Worker Profile page. Users can also start processes by selecting
and then selecting Retry from the Actions menu.Users can’t restart completed or deleted processes. When a process is restarted, start conditions are circumvented and a new process is run against the current version of the entity in Professional. This enhancement is automatically available in Professional.
