Importing worker records

As a Beeline Professional administrator, you can import worker records using the Import Data tool. You can use an import template to upload worker information, edit existing worker records, or offboard workers in bulk.

The quick start default template includes all the available columns that you can specify for worker records. To tailor the template to your specific needs, you can download a copy of the quick start default template to your device and use it to create your own template by populating the required columns and removing any unnecessary ones.

Before you begin

  • You must have administrator access to the tenant site you’re setting up.

  • Identify the workers you want to import and gather the information required to create their records.

Steps

To import workers for your program, complete these steps from any supported browser.

  1. Log in to the Professional site you’re setting up.

  2. From the left navigation, go to Home and select Import Data.

  3. Create a template that you can use with the Import Data tool:

    1. From the Data type field, select Worker.

    2. To download a template, select Templates from the Import Templates section, and then select the quick start default template from the Select a template list. Select Download.

    3. Open the template file in Microsoft Excel ©. These columns are required for the template:

      • Legal First Name

      • Legal Last Name

      • Personal Email. This displays as the Primary Email on the Worker Profile page.

      • Engagement Status

      • Job Profile Reference Id

      • Classification Reference Id

      • Supplier Reference Id

      • Supervisory Org Reference Id

      • Accountable Person Id. This field is optional if your program doesn’t use accountable persons.

      • Cost Center Reference Id

      • Business Site Reference Id

      • Start Date

      • End Date

      • Timesheets Enabled. Enter TRUE to enable timesheets.

      • Work Schedule Reference Id

      • Holiday Schedule Reference Id

      • Entry Type. You can enter any of the options used in your program. For example, Hours or Clock.

      • Bill Rate

      • Rate Currency Enter TIME.

      • Rate Frequency. You can enter any of the options used in your program. For example, HOURLY, DAILY, WEEKLY, BI-WEEKLY, or MONTHLY.

  4. To populate the template, add each worker as a separate entry; for example, one row for each worker you want to add.

  5. Save the populated template with a different file name.

  6. Go to the Import Data dialog and in the Note field, enter a description of your import to help you find it faster in the import monitoring logs and select Continue.

  7. Upload the populated template.

  8. Confirm the column headers by selecting the header row and then selecting Next.

  9. Map the headers from your template to their corresponding fields in Professional and select Next.

  10. Review your data to identify any typos, missing values, or incorrectly formatted data. You can edit your data directly in the dialog. Hover over any highlighted areas to view warning or error details.

  11. Optional: To review any potential errors, turn on the Show only rows with errors toggle in the upper right. If errors exist, you can hover over each error to view advice on resolving it. After you resolve the errors, select Import Data.

  12. Select Import Data to start the import.

After you submit the template, a message confirms you’ve submitted it successfully. The message doesn’t mean the data was successfully loaded in Professional. Check the Notifications area to view the status of your import.

Administrators can select Settings  Monitoring  Import Logs and determine whether the import was processed successfully or find details about any errors. For more information, see Checking the status of an import process.

If the import process fails, make corrections to the template and try again.
