About invoicing

Invoicing is a reliable way to track and manage spend related to your extended workforce program. Timesheets and expenses must have an APPROVED status before they can be used to generate an invoice.

In Beeline Professional, an invoicing object includes the following information:

  • a list of timesheets

  • expenses that are attached to the invoice

  • data that is relevant to the overall invoice

  • attached files (optional)

Program office users can view submitted invoices, approve or reject invoices, import invoice data, and export invoices from the Invoices hub. Suppliers can view, generate, edit, and submit invoices in the Invoices hub of the Supplier Experience on behalf of workers.

Considerations

Before you use the invoicing feature, complete these checks to ensure your settings are correct.

  • In Professional, check that your worker engagements are connected to suppliers.

  • In Professional, configure your tenant security permissions to allow workers and suppliers to submit timesheets and expenses.

  • In the Supplier Network app, ensure that the timesheets and expenses you want to include in your invoice are approved.

  • Depending on your configuration, enabling invoices might require a Technical Support Request and Professional configuration. Contact your Customer Success Manager to learn more.

About the Invoices hub

To view all of your invoices, navigate to the Invoices hub. The hub contains a list of all your invoices and displays details about each of them, such as the invoice number, the supplier name, the invoice ID, and the total amount contained in the invoice.

An invoice can have one of these states:

  • Approved

  • Rejected

  • Pending

  • Paid

You can order the invoices by the invoice number or the last updated date. You can also use filters to find invoices quicker.

To view all the details of an invoice, select the invoice number. Typically, you can see the information included by the supplier in the invoice and a list of timesheets and expenses. You can access the details of each timesheet or expense item to further review the invoice.
