Exporting scheduled reports to SFTP

As an administrator, you can schedule custom or standard reports to be exported directly to a configurable SFTP location. This capability streamlines data transfers, reduces manual workload, and supports consistent, secure, and scalable reporting processes.

By automating exports, organizations improve efficiency, accuracy, and compliance. Scheduled delivery ensures timely and consistent data availability, minimizes the risk of human error, and protects sensitive information through secure SFTP transfer. The ability to configure both standard and customized reports provides flexibility to meet evolving business requirements while optimizing administrative resources.

Steps

To be able to export scheduled reports to SFTP, complete these steps from any supported browser.

Create an SFTP directory

  1. Sign in to your Professional tenant site.

  2. In the left navigation pane, select Settings  SFTP.

  3. Open the SFTP Directories tab.

  4. Select Add (+) to create a new directory for report exports.

  5. In the Add SFTP Directory window, enter a name for the SFTP directory. Select Add.

    When the directory is created, the system also creates an associated SFTP user. The user name appears in the User Name column, next to the directory name.

Connect to the SFTP directory

  1. Sign in to your Professional tenant site.

  2. In the left navigation pane, select Settings  SFTP.

  3. Open the SSH Keys tab and select Add (+).

  4. In the Add SSH Key window, from the SFTP User list, select the newly created user.

  5. Generate an SSH key pair.

  6. Go back to the Add SSH Key window and paste the generated public key into the Key field.

    The key must:

    • Use the OpenSSH public key format.

    • Be one of the following types: RSA, ECDSA, or ED25519.

  7. Select Add SSH Key.

  8. Connect to the SFTP directory using the connection details shown on the SFTP page in Professional.

    Use the user name associated with the uploaded public key and the private key stored on your machine.

Export reports to an SFTP directory

  1. In the left navigation pane, select Reports  My Reports.

  2. Locate the report you want to export.

  3. From the report’s Actions menu, select Export.

  4. In the export window, select the SFTP directory you want to use, and then select Export.

  5. Optional: To schedule automated exports, select Schedule Export from the Actions menu.

  6. Refresh the local SFTP directory to view exported files.
