Configuring fees on engagements

Fees are charges associated with managing and operating a contingent workforce program. In Beeline Professional, fees are configured at the engagement level and are calculated automatically when a worker submits their timesheet. Beeline Professional is designed to give programs flexibility by managing fees at the engagement level rather than globally.

How fees work in Professional

Configuring fees in Professional is performed in two steps:

  1. Settings: An administrator defines the fee structure, including the rate name, calculation method (static or formula), and invoice mapping (set to Fee). This creates a reusable fee template available across engagements.

  2. Engagement: A Program Office Administrator (PMO) selects the fee from the pre-configured list and defines the amount or multiplier for that specific engagement. The formula defined in settings can be overridden at the engagement level if needed.

Fees can also be defaulted automatically based on your organization’s business rules during the onboarding process.

Configuring fees in Settings

  1. Before applying a fee can to an engagement, you must define it first in Settings  Spend  Timesheet Settings  Rates  Add Rate.

  2. When defining fee in Settings, configure the following:

    • Rate name: A descriptive name for the fee as it will appear on timesheets and invoices. For example, "MSP Fee - Reg Time" or "Beeline Fee - OT". Rate names are freeform and defined by your organization.

    • Rate Default View: Select how the fee is calculated:

      • Static: A fixed amount per hour, day, or month

      • Formula: A multiplier of another rate, such as 0.02 x bill rate (2%)

    • Rate Invoice Mapping: Select Fee to designate this rate as a fee. This determines how the rate is categorized on the timesheet and invoice. A Fees Type field will appear; select the appropriate fee type:

      • MSP Fee: Aggregated as Total MSP Fees in reporting

      • VMS Fee: Aggregated as Total VMS Fees in reporting

      • Other Fee: Aggregated as Total Other Fees in reporting

Applying fees to engagements

Once you define a fee in Settings, you can apply it to an engagement in the Engagement Rates section.

When applying a fee to an engagement:

  1. Select the fee from the pre-configured list.

  2. Define the amount or multiplier for that engagement. For example, a fee defined as a formula in settings may default to 0.02 x bill rate (2%) but can be adjusted to 0.03 x bill rate (3%) for a specific engagement if needed.

  3. Ensure the fee is configured consistently with your program’s funding model, positive multipliers for client-funded programs, negative multipliers for supplier-funded programs.

Fees and rate types

Fees in Professional do not have a single global fee, each rate type on an engagement that requires a fee must have a corresponding fee configured. For example, if an engagement has regular time, overtime, and double time rates, a separate fee should be configured for each:

  • MSP Fee: regular time = 0.02 x bill rate (2%)

  • MSP Fee: overtime = 0.02 x overtime (2%)

  • MSP Fee: double time = 0.02 x double time (2%)

This ensures fees are calculated correctly for each type of time submitted.

Fees on expenses

Fees on expenses are not currently supported.
